How I look after your information.
Last updated 8 October 2026.
Who I am
Back by Teatime is the trading name of Charlie Reed, a sole trader in Colchester, Essex. I'm responsible for the personal information described here. Contact me at charlie@backbyteatime.co.uk.
What I collect
- Your name, contact details and messages when you get in touch.
- Information about how your business works, which you share during a chat or Time Audit.
- A recording of a Time Audit interview, only with your written consent.
- Details needed to invoice you and keep business records.
How I use it, and why
- To reply to your enquiry and arrange a chat (legitimate interests, and steps before a contract).
- To carry out work you've asked for (contract).
- To record and analyse a Time Audit interview (your consent, which you can withdraw).
- To keep accounts and meet tax rules (legal obligation).
Who helps me
I use a small number of trusted providers, who only process information on my behalf:
- Apple (iCloud Mail) for email.
- Anthropic (Claude) to help analyse Time Audit notes and transcripts, with your consent. I remove details that aren't needed first.
- Vercel to host this website.
- Twilio for phone calls and text messages.
Some of these providers are based outside the UK. Where information leaves the UK, it's protected by the safeguards UK law requires. I never sell your information.
How long I keep it
- Interview recordings: deleted within 30 days.
- Enquiries that don't go further: deleted within 12 months.
- Client and invoice records: kept for 6 years for tax purposes.
